What is the purpose of stake conference?

Stake Conference. The primary purpose of stake conference is to strengthen members’ faith in Jesus Christ. All are invited to attend the general session.

Each stake generally holds two stake conferences during the year as scheduled by the President of the Quorum of the Twelve.


Understand the Purpose of the Meeting

The first step in preparing for any meeting is to make sure you are clear on the objectives. What is the purpose of this meeting? Is it to gather feedback from clients? Whether you need to disseminate information, find solutions, or establish further action, by preparing an agenda you can make sure that you will cover everything in the given time frame.


Prepare Your Answers

Especially when it comes to a stakeholder meeting, you want to avoid being caught off guard. Prepare your talking points in advance and master the information that will be covered during the meeting to make a compelling case.


Be Ready For The Unexpected

Each project has its own risks. These risks must be assessed to discover which parts of the business could be affected. While this is not usually something that you would bring in a meeting, it’s possible that the stakeholders could ask about them. Don’t let this puzzle you.


Send Meeting Minutes

Meeting minutes are a point by point summary of the most relevant topics discussed in a meeting. Before the meeting, assign a designated note-taker to outline the discussion and write down specific details such as names or dates. Better yet, you can even record the meeting and use the transcript to create accurate materials.

In March, for the first time, I will be playing for all three sessions of my stake conference. As I’ve been spending hours in preparation, I thought I’d create a post that shares the steps I’m currently taking to prepare.

A Little About Me

My name is Jennifer, and I am the mom to six who aren’t so little anymore! The flute was my instrument throughout my youth. As a music education major I took a semester of group organ at BYU with Carol Dean. Two years later I was called as ward organist in her stake and again studied with her during that year.


Step 1: Create a private Facebook event for stake conference

I remember being in the bishopric and announcing stake conference for 4-6 weeks prior and then being frustrated when a member would ask why nobody was at sacrament meeting the day of stake conference. The reality is, announcements or ward bulletin notices are not very effective.


Step 2: Dress up your Facebook event page

Using a free design tool call Canva I made a simple image for the event image. This took no design experience at all since I used on of the Canva templates.


Step 3: Invite people to the Facebook event

Your stake conference event page is worthless unless you have people coming to the event. Like I said before, I only had 2 weeks to invite people to the event, and in those 2 weeks we were able to invite 336 people.


Step 4: Create a flier to share at church the weeks leading up to stake conference

We then went back to Canva and used one of their templates to create a flier we could print out and share at church the Sundays leading up to stake conference.


Step 5: Share, Remind, Share, Remind

At this point you will see the “invited” number increased day-to-day as more and more people are being invited by the fellow stake members. Your work is not done, but the good news is you have a captive audience through the powers of Facebook events.
